Connected through one managed platform.

Project summary

Built for district staff.
Built to serve residents.

The District Connection platform gives each fire, ambulance, or combined district its own branded website, domain, content, files, calendar, and administrative workspace. Staff can make routine updates, publish public information, and manage internal work through tools designed for their responsibilities.

Behind the website, a private Contacts CRM connects residents, households, organizations, and follow-ups. Records, meetings, communications, compliance obligations, stations, apparatus, and incidents share the same district context. Macke's Software manages the platform infrastructure and protected configuration.

Configure the district logo, colors, typography, visual treatments and reusable site-wide presentation settings.
Homepage welcome banner
Edit the introductory line, main headline, description, calls to action and overlay treatment.
Multi-image hero carousel

Configurable Legacy headings
Customize the Legacy section label, including Legacy & service, and its title to match the district's message.
Optional gallery carousels

Show an image-only slideshow above the grid, or turn it off to keep only the grid. The built-in Photo Gallery page has its own switch under Content > Photo gallery.
Fullscreen gallery playback
Browse photos using edge controls and lower-center captions. Expand a photo and continue playback with previous/next, play/pause and close controls. Arrow keys navigate and Escape closes; reduced-motion preferences disable autoplay until Play is selected.
Media library
Upload optimized images, use external image sources where appropriate and reuse district imagery in content and documents.
Content backup
Export or preserve site content for operational continuity and recordkeeping.
Separate mailing address
Maintain a full district mailing address separately from the district contact address.
Additional public contacts
Add contacts with name, full address, phone, email and website. Choose whether each appears on public contact lists and inspect the preview before publishing.
Custom social links
Add titled external social links, including LinkedIn, without requiring a subtitle.
Spelling assistance
Use Check spelling in supported editors and browser spelling suggestions across text inputs. Review suggestions before applying them.

Safe district switching
Unsaved edits, saved drafts and unpublished changes block site switching until reviewed and published or deliberately discarded. The public Switch site menu opens the selected district's website.
Document-picker modal
Administrators can select documents they are authorized to access when configuring document-library components. Selection does not grant public access to restricted records.
03

Leadership, services & safety information

11 features

Maintain the public information residents routinely look for.

Board and team directories
Manage board members and operational team members with biographies, roles, photos, phone numbers and email addresses.
Public member profiles
Present staff and board information in clean, focused detail modals instead of expanding the page layout.
Service catalog
Publish district services with descriptions, supporting information, images and related documents.
Safety topics
Create and maintain public education and safety guidance with links, documents and supporting media.
Service applications
Offer online general service, inspection, burn-permit and recruitment requests on the public website and app. Configure eligibility, fees, limitations and instructions, plus optional document or website links.
Staff request review
Review private submissions, record decisions, appointment details, permit references and conditions, and staff notes. Submission receipts do not authorize burning or confirm appointments.
Connected requests
Open a request's linked contact and follow-up. Keep supporting documents and linked electronic signatures with the request.
District-specific receipts
Edit each district's Service request confirmation email template. Receipts include service, submission date and reference number when the applicant supplies an email and district sending is configured.
Deliberate safety updates
Attach a document or external resource to safety topics. Changes persist only when saved.
Contact information
Maintain district location, phone, email and contact details once for consistent use across the site.
Removal safeguards
Confirmation dialogs protect against accidental removal of leadership and other important records.
04

Events, meetings & public calendar

13 features

Coordinate district meetings and events from one structured workspace.

Meeting and event records
Create, edit, publish and organize upcoming meetings, public events and training dates.
Recurring schedules
Configure repeat patterns with optional end dates. Bounded series create occurrences through the end date; open-ended series initially create a year ahead, with continued scheduling supported through the managed service.
Occurrence and series editing
Change one meeting independently or use Edit series for upcoming occurrences. Preserve past meetings and individual changes; customized meetings outside a changed schedule remain individual meetings. Delete a single occurrence after confirmation.
Calendar and search
Browse a sticky calendar with scheduled-date markers, filter by a selected day, clear to All dates, and search meetings by name or date.
Meeting audiences
Choose Public, all signed-in district users, selected District Users groups and users, or administrators only. Signed-in users see public meetings plus meetings shared with them.
Station location suggestions
Choose a district station address in the meeting editor or enter a custom location.
Location defaults
Start new events with the district’s saved address while allowing event-specific locations.
Descriptions and links
Publish full meeting details and add helpful links within event descriptions.
Ordered meeting documents
Attach agendas, minutes, packets and supporting files, then set their order. Residents see the available documents in the administrator's saved sequence.
Calendar downloads
Let residents add a meeting or event to their personal calendar.
Public calendar navigation
Provide clear pathways from event details to the complete district calendar.
Efficient administration
Upcoming records load first; past events remain available on demand without slowing the workspace.
Use meeting detail screens and related recordings
Full-page meeting editing with aligned fields, station address choices, and recording access.

District news
Publish dated stories with summaries, full-story content and optional external website links.

Associate both a meeting or event and a public document with the same notice or news item.
Public detail experience
Residents can review the notice first, then choose whether to open its related meeting, document or external website.
Component display controls
Choose how many items appear and whether a component shows the latest records or specific selected items.
Separate news and notice selection
Choose News or Notices first, then use the matching record-picker modal to select specific items for the component.
View-all pathways

06

Public records & document publishing

14 features

Organize public files for residents while giving staff practical records-management tools.

Document publishing
Upload PDFs and other supported files, assign categories and folders, and control public visibility.
Document composer
Prepare structured district records using configurable category templates and district information.
Direct document links
Use Share to copy a stable link to a document's reading page. Sharing a link does not grant access to restricted records.
Replace file
Update a document while preserving its shared link. Replacement cannot be undone through this action and removes custom e-sign fields; review detected fields and recreate custom fields for the new file.
Document and folder permissions
Choose public access, selected District Users groups and individual users, or administrators only. Parent-folder restrictions still apply, and district administrators retain access.
Dedicated reading screen
Read extracted document content in a focused screen with back-to-records navigation. The original PDF remains available when exact layout or signature-line fidelity is needed.
Print and download
Access original PDF download and print controls at both the top and bottom of the reading screen.
Document preview
Administrators can preview records and signed submissions without downloading them first.
Search, filters and pagination
Search titles, filenames, tags and folders; filter by category, year, file type and visibility. Browse folders and paginated results, with empty public branches hidden from residents.
Document categories
Add, rename and delete categories from a dedicated management screen, reviewing document and gallery usage when making changes.
Visibility at upload
Set the public/private switch while uploading a document. Public is the default; public availability also depends on the folder and publication settings.
Consistent filenames
Keep the document name first and date last, such as meeting_minutes-2026-01-08.pdf.
Plans, maps and signing actions
Organize operational documents using Plans and Maps categories and open available electronic-signing actions from Records.
07

Windows application: district document management

10 features

District Documents for Windows gives authorized administrators a desktop workspace for local files and the district records library.

Installable Windows application
Download the Windows app from Records and install it for the Windows user. The application includes its runtime and uses existing district administrator accounts.
District sign-in and access
Sign in with the district server address and administrator credentials. The account determines available districts and must include document-management permission.
District and local file browsing
Browse and search district documents alongside local Windows folders. Choose a local location, navigate subfolders, create local folders and open Windows Explorer.
Folders and document organization
Create, rename and move district folders; rename and move documents. Change a saved document’s category from its editor. Only empty folders can be deleted.
Folder permissions
Set district folders to Public, Administrators only, or selected district groups and users. Parent-folder restrictions continue to apply; moving an item changes its inherited restrictions.
Categorized uploads
Select a district category and upload selected local files or use the Windows file picker. Files are limited to 25 MB each and start private. Manage document sharing and publication through the website.
Downloads without overwriting
Download selected district files into the current local folder. Existing files are preserved; duplicate names receive a number.
Clear transfer results
Review successful and failed transfers. A failed upload stops the batch so staff can retry unfinished files. Concurrent-save conflicts retain the form for review.
Explicit file transfers
Uploads and downloads are deliberate copies, not automatic synchronization. Editing a downloaded file does not change the district copy; uploading creates a new private document.
Controlled removal and sign-out
Deleting a district library entry leaves local files untouched and retains stored files for retention policies. Sign-out clears account credentials from memory; downloaded files remain in the chosen Windows folder.
08

Electronic signatures & submissions

9 features

Collect signed district documents without purchasing a separate basic e-sign workflow.

PDF e-sign enablement
Mark an uploaded PDF as available for electronic signature. An E-sign enabled badge identifies eligible records, and Edit signing fields opens field configuration.
Detected and custom signing fields
Review automatically detected Document Fields and supplement them with custom fields. Detected document fields are required; field detection finishes before the resident enters signing information.
Public signing workflow
Residents complete the document fields, name, signature and consent, then submit. Email and phone are optional.
Signed-copy delivery
Explain that a completed signed copy will be emailed when the signer supplies an email address. Delivery uses the district's configured sender.
Submission review
Authorized staff can view, preview, download, filter and search signed submissions.
Review status
Update a submission’s internal review status directly from the e-signed submissions workspace.
Folder organization
File submissions into managed folders, including an Unfiled view, with rename and context-menu controls.
Protected deletion
Delete a submission only after confirmation, removing the database record and associated stored files.
Dedicated permission
E-signed submissions are hidden unless the administrator has the specific permission or is a super administrator.
09

Forms, applications & structured responses

7 features

Create public intake tools that belong to the district—not a disconnected third-party form account.

Visual form builder
Create forms in a spacious editing modal and add questions in the order residents will encounter them.
Configurable questions
Build and maintain form questions, response fields and related form content.
Reusable form component
Place a configured form on the appropriate public page through the component builder.
Structured submissions
Store each form, its questions and its responses in the platform for district review.
Optional e-signature

Live automatic preview
Preview representative email content for the selected subscription type without manually refreshing.
Content-aware links
Inject links to notices, news, meetings, related documents, external websites and the district calendar when applicable.
Publish-triggered delivery
Send relevant messages when notices, news or events are published to subscribed audiences.
Engagement reporting
Review campaigns, delivery totals, estimated opens and tracked link clicks with clear tracking limitations.
Interactive performance dashboard
Review sent, delivered, opened, clicked and delivery-issue totals with selectable column, horizontal bar, line and area charts.
Recipient drill-downs
Drill from campaign sends into recipient email addresses and recorded delivery or engagement details. Breadcrumb navigation returns to the send or dashboard.
Combined email and postal signup
Residents can request email updates and physical mail through one signup linked to one CRM contact. Postal requests require a complete address and are available when the district enables public physical-mail enrollment.
Physical mailing preferences
Residents can manage email subscriptions and Physical mailings through Update preferences. Turning off public postal enrollment hides address enrollment controls without deleting existing contacts or subscriptions.
Physical mailing administration
Review postal requests in Email > Physical Mailings. The list does not print or dispatch postal mail.
Verified district sender
Send from an approved address on the district’s own verified domain through Amazon SES.
Managed domain onboarding
Macke’s Software handles district sender-domain setup, authentication records and verification.
Tenant protection
Each district’s verified sending domain stays protected from use by other districts.
Test delivery
Send a configuration test before relying on the district sender for public campaigns.
11

Service-area maps & district coverage

9 features

Show residents where the district serves using the best available boundary information.

Coverage-area component
Place an interactive district service-area map on public pages.
Contextual basemap
Display counties and surrounding geography beneath a transparent highlighted service polygon.
Map controls
Pan farther and zoom out to twice the initial view width. Initial centering and Reset continue to frame the current district, even with surrounding districts enabled. Map tiles load as visitors explore.
Source disclosure
Identify the source of the published boundary in the map disclaimer area.
Central boundary import
Support large service-area datasets and preserve unmatched imported records for later assignment.
Managed boundary matching
Search the complete imported dataset and explicitly link the correct polygon to a district site.
Authoritative display name
Use the linked department record for district naming rather than relying on inconsistent source-boundary names.
Surrounding districts
Enable Show surrounding districts in Component settings or Edit on page. Show onboarded districts with active sites and matched public boundaries within approximately 100 miles of the current coverage bounds. Neighbor areas use their own primary colors, lighter fills, dashed outlines and names; the legend uses names and color swatches without numbering.
Editable map content
Customize the map eyebrow, title and introduction in Edit content. Compact header spacing and clear switches control the public presentation.
12

Accessibility, governance & publishing confidence

12 features

Give staff tools to publish carefully and recover when content needs to change.

ADA and WCAG readiness checks
Scan page content and documents for common readiness concerns before publication.
Document accessibility workflow
Review findings and remediate supported document-accessibility issues.
Compliance-aware publishing
Run the same checks and save workflow whether publishing from the main editor or inline editing.
Draft workflow
Save work as a draft, identify pending unsaved changes and confirm before leaving an unfinished editing session.
Publishing controls
Preview changes, publish intentionally and receive clear success or failure feedback.
Page-version comparison
Compare saved page fields and component settings with current values. Identical consecutive snapshots are combined and matching versions are labeled. This does not compare the contents of uploaded PDF or Word files.
Page restoration
Restore a retained page version into unpublished changes, then review and publish. Separately managed shared records are not part of page snapshots.
Content archive
Archive deleted content items and restore them later instead of losing them immediately.
Protected core pages
Keep required site pages from accidental deletion while still allowing their content and visibility to be managed.
Certification archives and deletion
Review archived certifications alongside other archived content. Permanently delete supported archived items only after confirmation.
Protect unsaved detail edits
Updated detail screens show unsaved changes and confirm before discarding edits.
Use consistent date and dropdown controls
Admin dropdowns share a blue arrow and neutral choices; date controls show a single readable date.
13

Users, permissions & support

16 features

Give each district employee the access needed for their role—and no more.

Administrator invitations
Invite additional district users and assign access for the appropriate site.
Granular permissions
Control access to content areas such as communications, records and e-signed submissions.
Delegation safeguards
Administrators cannot grant permissions they do not possess themselves.
Flexible invitation choices
Select or deselect individual permissions while preparing an invitation.
Site-scoped access
Keep district users and data associated with the correct tenant site.
District Users groups
Create user groups and find members by name or email for restricted document and meeting audiences. These groups are separate from CRM groups and email distribution groups; page-draft restoration does not replace current memberships.
Account enable and disable
Authorized administrators can disable or re-enable an account with confirmation, separately from permanently deleting it.
Built-in support
Create and follow support requests from the administration workspace.
Team Viewer access
Give staff viewer access to assigned restricted pages without granting the full administration workspace.

Find step-by-step guidance for district workflows and the Contacts CRM within the administration workspace.

Users can update their own profile photo; authorized administrators can manage other users’ photos. Photos use protected delivery and support images up to 2 MB.
Certifications, renewals and history
Track credentials, issue and expiration dates, one image per credential and renewal history. Review latest certificates or full history from the user profile.
Volunteer and career schedules
Record district-specific volunteer or career classification and recurring start/end times for each weekday. Review weekly hours in the district’s time zone.
Open user details from the directory
User and equipment detail arrows align near the right edge of their rows.
14

Contacts CRM: directory & relationships

10 features

Build a private, district-wide view of residents, households, organizations and the relationships between them.

Dedicated Contacts workspace
Separate Directory, Groups, Follow-ups and Duplicate review screens keep daily work focused. CRM records save immediately and are not published on the website.
Flexible contact types
Create residents, households and organizations, or add custom contact types directly from the editor.
Complete contact profiles
Maintain names, titles, optional email, formatted phone, website, full address and preferred contact method.
Search and filters
Search names, email addresses, phones and addresses. Filter by type, group and active or archived status, with directory counts and open follow-up totals.
Related profiles
Link household members, employers and community partners with relationship labels. Open related contacts directly or remove a relationship when needed.
Activity and change history
Record notes, calls, emails and meetings; keep tasks with the profile and retain an audit of contact-field changes.
Archive and restore
Archive contacts without losing their history, find them through the archived filter and restore them later. Archiving alone does not unsubscribe a contact.
Bulk actions
Select contacts for group assignment, archiving or restoration rather than updating every record individually.
Private, permission-controlled records
Restrict access by district and Contacts permission. Revision checks prevent silently overwriting another administrator's contact edits.
Open contacts from the directory
Contact rows use clearer name and type information with clickable rows and a trailing details arrow.
15

Contacts CRM: groups, follow-ups & duplicates

10 features

Organize community relationships, assign next steps and keep the directory accurate.

Create and maintain groups
Create named groups even before adding members, view membership counts and open each group's directory list.
Multiple group memberships
Assign a contact to several groups through the searchable membership picker, CSV import or bulk actions.
Safe group changes
Rename a group without losing membership. Delete a group to remove only its memberships; contacts and their other groups remain.
Follow-up creation
Create a task from the Follow-ups screen or a profile. The contact type-ahead searches after two characters and shows up to six matches.
Dates, states and assignments
Use calendar-style due dates, assign or reassign district users, and filter by state or assignee. States are Open, Reviewed, On hold, Processing, Removed and Complete. Inline saving indicators preserve selected values.
Connected task history
Follow-ups remain linked to the contact and appear in its activity history. CRM tasks track work internally and do not send email reminders.
Potential duplicate detection
Review contacts of the same type sharing an email or phone. Shared family details may be legitimate; nothing merges automatically.
Swap the retained profile
Review Keep and Archive during duplicate confirmation and use Swap to reverse which contact survives before merging.
Controlled merging
Choose the profile to keep. Combine groups, activities, relationships and subscription links, retain suppression, and archive the original profile with its original details.
Review clearly separated duplicate matches
Duplicate review separates matching contact rows and formats shared phone numbers for readability.
16

Contacts CRM: communications & data tools

10 features

Connect signup information and communication preferences without treating every contact as a subscriber.

Signup integration
Link existing and new email or physical-mail signups to clearly matching resident profiles. Ambiguous matches stay separate for review.
Online submission follow-ups
District-facing visits, service applications, contact messages, online forms, mailing/subscription requests and e-signatures create private follow-ups linked to their source. Platform registration and account-access requests are excluded.
Personal district email
Click a contact email address to open a dedicated composer screen. Send using district branding and the configured sender and reply address; successful sends enter contact activity. Do not contact is respected, and duplicate-send protection distinguishes rejected sends from uncertain outcomes.
Website inquiry follow-ups
Residents, households and organizations can use Send a message with a name, email or phone, and a short message. Submissions become private open CRM follow-ups for staff assignment and tracking, without subscribing the sender to newsletters. The form is for non-emergency communication.
Subscription visibility
See linked newsletter status, physical-mail requests and the latest ten tracked email deliveries, including available open, click and delivery-issue information.
Do not contact switch
Suppress linked or matching newsletters and linked physical mail. Clearing the switch does not automatically resubscribe anyone.
Consent stays separate
Manual and imported contacts do not gain newsletter consent. CRM groups organize contacts and remain separate from Email distribution groups.
Guided CSV import
Use a template, column mapping, preview and validation. Import up to 500 contacts per file, include group memberships, and skip exact normalized matches without overwriting profiles.
Filtered CSV export
Export matching contacts across all directory pages, up to 10,000 per export, including archive and suppression status. Spreadsheet formula prefixes are escaped.
Consistent daily experience
Responsive layouts, standard save notifications, loading spinners and keyboard-accessible controls support desktop and mobile administration.

Lead-time reminders
Configure reminder milestones in days, including 0 for the due date. Automatic email reminders notify assignees and skip completed obligations and removed assignments.

Create, search and maintain hydrants with location coordinates, numeric flow and capacity information, status and a picture.
Maintain equipment using organized detail sections
Equipment fields are grouped into clear sections, with custom types, supplier links, and related station/apparatus assignments.

Accessibility checks help identify common publishing barriers; they do not certify ADA compliance or full WCAG conformance.

More ways to keep work connected

From the meeting room
to the district record.

Meeting recording and communication tools extend the core administrative workspace.

Record & transcribe meetings

  • Record microphone audio with pause and resume, or upload a meeting recording.
  • Open recording setup directly from a saved meeting and link audio to its actual occurrence date.
  • Reopen linked recordings from the meeting detail screen.
  • Add agenda context and expected attendee names.
  • Review private transcripts, speaker labels, and timestamped audio.
  • Search, filter, and reopen saved recordings.
  • Remove recordings, transcripts, and working drafts separately from saved minutes.

AI-assisted minutes

  • Generate a private draft from the recording and meeting context.
  • Review uncertain details and compare the draft with the transcript.
  • Correct speaker names and regenerate a draft when needed.
  • Edit minutes and save a private working draft.
  • Save reviewed minutes privately to Records, linked to the meeting.
  • Manage district processing budgets, duration limits, and retention.

Staff review the draft and separately control publication. Generating minutes does not automatically publish or approve them.

Welcome emails & physical mail

  • Customize each district's subscriber welcome subject, message, branding, and preview.
  • Enable or disable welcome delivery for that district.
  • Include website and email-preference links in welcome messages.
  • Edit, archive, restore, or delete physical mailing records.

Mobile app: signed-in district users

15 features

Authorized district users receive a district-branded operational workspace. Access depends on the district’s mobile service and the user’s assigned permissions.

District workspace and access
Sign in to an enabled district and open permitted tools from the dashboard. Mobile app access is a district service arranged with Macke’s Software.
On-duty roster and response status
Review current team availability, member photos and response totals. Update your response status and view personal availability separately from the team roster.
Availability scheduling
Schedule your availability and review personal schedule status from the On-duty workspace.
Meetings and events
Browse Upcoming and Past meetings and events shared with your account. Open details and supporting documents, add events to your calendar and get directions.
Records, training and preplans
Browse documents and folders allowed by your permissions, with drafts omitted. Training focuses on Training documents; Preplans & map focuses on Plans and Maps.
Incident management
Create and edit incidents, including status, priority, public visibility, call information, aid and assignments, property and contacts.
Apparatus and maintenance
Browse apparatus, review vehicle details and edit permitted records. Maintenance separates upcoming work from service history and links to equipment maintenance.
Equipment inventory
Create and manage equipment with type suggestions, identification, assignments, storage location, inspection dates, purchase and warranty information, notes and status. Calculate the next inspection date from the last inspection and interval, with an editable due date.
Equipment QR labels and scanning
Print or share an equipment QR label. Scan a label to open the equipment; scanning from Equipment checks starts a check for that item.
Signed equipment checks
Record a check title, result and notes, review your full name and provide a drawn or typed electronic signature with consent. Signed checks are locked; review history and request a PDF report when needed.
Equipment photographs
Choose a photo from the device library or take a new picture with permission. Saved equipment pictures are shared with the website workspace.
Hydrant records and mapping
Add, edit and search hydrants, filter by status and choose an exact map location. Record coordinates, flow, capacity and a picture.
Personal certifications and profile
Review your credentials, expiration information, images and history. Update your profile photograph within the shared 2 MB limit; district administrators maintain certification records.
Direct and group text messaging
Message district members individually or in groups. Use replies, likes, copying, typing indicators, read receipts, older history and unread counts. Retry failed sends while retaining drafts and pending messages on the device.
Message notifications
Review unread dashboard counts and open a conversation from a notification. Background notifications are available when enabled for the district and permitted on the device.

Available tools follow district configuration and account permissions. Staff sign-in requires an enabled district mobile service. Background message notifications require configured delivery and device permission.
